Meet Management
Create, organize, and run competitive swimming meets with ease.
Overview
Meets are competitive swimming events where swimmers compete in various events. SwimMeet Pro helps you organize everything from small dual meets to large invitationals, managing schedules, entries, heats, and results all in one place.
Creating a Meet
All team members can create meets, though Meet Manager, Coach, and Head Coach have different permission levels for management:
Meet Setup
Essential information for your meet
Basic Information:
- Meet Name - Descriptive name (e.g., "Conference Championship 2025")
- Location - Venue name
- Start Date - When the meet begins
- End Date - When the meet ends (can be same day)
Meet Configuration:
- Meet Type - Dual, Triangular, Invitational, Championship, or Time Trial
- Course Type - SCY (25 yards), SCM (25 meters), or LCM (50 meters)
- Lanes - Number of pool lanes (default: 8)
Optional Details:
- Venue Details - Full address, city, state, zip code
- Host Team - The team hosting the meet
- Sanction Number - Official USA Swimming sanction number
- Description - Additional meet details
- Notes - Internal notes for meet managers
Meet Types
Different meet formats for different competitive scenarios:
🏊♂️ Dual
Head-to-head competition between two teams. Typically scored with points for 1st, 2nd, and 3rd place finishes.
🏊♀️ Triangular
Three teams competing simultaneously. Each team competes against both opponents with separate scores.
🏆 Invitational
Large meets with multiple teams. Focus on individual/relay placements rather than team scoring.
👑 Championship
End-of-season meets with qualifying times. Often includes prelims and finals format.
⏱️ Time Trial
Non-competitive meets focused on achieving qualifying times or personal bests.
Course Types
Pool configurations affect times and records:
SCY
Short Course Yards
25-yard pool. Most common in USA high school and club swimming.
SCM
Short Course Meters
25-meter pool. Common internationally and for winter competitions.
LCM
Long Course Meters
50-meter pool. Olympic distance, used for major championships.
Important
Course type cannot be changed after events are created, as times are course-specific and not directly comparable.
Managing Participating Teams
Add opponent teams to your meet:
Adding Opponent Teams
For dual meets, triangulars, or invitationals, add all participating teams:
- Navigate to the meet details page
- Go to the "Teams" tab
- Click "Add Opponent Team"
- Either select an existing opponent or create a new one
- Add opponent swimmers to the team roster (manually or via bulk import)
Your Team
Your team is automatically added to every meet you create. You only need to add opponent/visiting teams.
Quick Import with SDIF
Request SDIF entry files (.sd3) from opponent teams to instantly import their complete roster. These files are exported by meet management software and contain all swimmer data in a standardized format.
Meet Status
Meets progress through different states:

Initial state when creating a meet:
- Add and organize events
- Enter swimmers
- Make changes freely
- Generate and adjust heats
🔴 Live
Meet is in progress:
- Record times in real-time
- Live timing integration active
- View results as they happen
- Track meet progress
🏁 Completed
Meet has finished:
- All results recorded
- Final scores calculated
- Historical data archived
- Export results and reports

Best Practices
- ✓Create meets well in advance to allow for proper planning
- ✓Use descriptive names that include date and type
- ✓Add all venue details for participant reference
- ✓Include sanction numbers for official USA Swimming meets
- ✓Double-check course type before adding events
- ✓Use notes field for special meet procedures or requirements
