Record times, manage results, and integrate with timing systems.

Overview

SwimMeet Pro provides multiple ways to record times and manage results during your meet. Whether you're using manual timing, electronic timing systems, or live integration, we make it easy to track performance and calculate results.

Going Live

Start the meet and enable live timing:

Live Meet Mode
Activate real-time result recording

When your meet is ready to begin:

  1. Ensure all heats are generated
  2. Navigate to the meet details page
  3. Click "Go Live"
  4. Confirm to activate live mode
  5. Begin recording results

Manual Time Entry

Enter times by hand for each swimmer:

Recording Times

To manually record results:

  1. Navigate to the event and heat
  2. Click on a swimmer's lane
  3. Enter the final time (MM:SS.SS format)
  4. Set placement if needed
  5. Mark any special conditions (DQ, scratch)
  6. Save the result

Time Format:

  • Sprint events: SS.SS (e.g., 23.45)
  • Most events: MM:SS.SS (e.g., 1:23.45)
  • Distance events: MM:SS.SS (e.g., 17:23.45)

Getting Your Credentials

Before using live timing, you'll need your API Key and Meet Code:

API Key
For timing system authentication

Your API Key is unique to your account and used globally for all meets.

  1. Click your profile icon (top right)
  2. Select "API Settings"
  3. Copy your API Key (format: smp_...)
Meet Code
Unique identifier for each meet

Each meet has its own Meet Code, automatically generated when you create the meet.

  1. Navigate to your meet's Overview page
  2. Find the Meet Information card
  3. Copy the Meet Code (format: MEET-YYYY-XXXX)

Live Timing Agent

Connect your timing system with our desktop agent for automatic time capture:

Windows desktop application for seamless integration

The SwimMeet Pro Live Timing Agent monitors your Superior Swim Timing (SST) export folder and automatically uploads results in real-time.

Installation:

  1. Download the SwimMeet Pro Agent installer (.exe)
  2. Run as Administrator and follow the installation wizard
  3. Launch from Start Menu or Desktop

Configuration:

  1. API Key: Get from User Menu → API Settings
  2. Meet Code: Copy from meet Overview page (format: MEET-YYYY-XXXX)
  3. Watch Folder: Select where SST exports files
  4. Test connection and save settings

During the Meet:

  1. Start Live Mode in SwimMeet Pro (click "Start Meet")
  2. Click "Start Monitoring" in the agent
  3. Agent automatically detects and uploads results
  4. View real-time confirmations in agent status window
  5. Stop monitoring when meet is complete

Result Details

Comprehensive result information for each swim:

Standard Fields
  • Final Time - Official time
  • Heat Number - Which heat
  • Lane Number - Which lane
  • Placement - Overall position
Special Conditions
  • DQ - Disqualification
  • Scratch - Did not swim
  • Splits - Intermediate times

Disqualifications (DQ)

Handle rule violations and disqualifications:

Recording DQs

When a swimmer is disqualified:

  1. Open the swimmer's result
  2. Check the "DQ" checkbox
  3. Enter the DQ reason (e.g., "False start", "Illegal turn")
  4. Time can still be recorded (optional)
  5. Result shows as DQ with no placement/points

Common DQ Reasons:

  • False start
  • Illegal turn
  • Illegal kick
  • Stroke violation
  • Two-hand touch violation (Breast/Fly)
  • Did not finish on back (Backstroke)

Scratches

Mark swimmers who don't compete:

DNS (Did Not Swim)

If a swimmer doesn't compete in an event they were entered:

  • Mark the result as "Scratch"
  • No time is recorded
  • No placement or points awarded
  • Entry remains in history as DNS

Split Times

Track intermediate times during races:

Recording Splits

For longer events, record intermediate 50 or 100 times:

  • Manual entry via result form
  • Automatic capture with timing system
  • Useful for pacing analysis
  • Coach review and feedback

Best Practices

General:

  • Double-check times before saving results
  • Enter results immediately after each heat
  • Always include DQ reasons for official records
  • Mark scratches before the heat to keep heat sheets accurate
  • Review final standings before closing the meet

Live Timing Agent:

  • Test the agent connection before meet day
  • Update Meet Code configuration before each meet
  • Start Live Mode in SwimMeet Pro before starting the agent
  • Keep the agent window visible to monitor uploads
  • Have a backup manual entry method ready
